Hey there! Today, we’re learning about one of the most important topics in Salesforce – how to make your data available while keeping it secure.

Salesforce is the #1 CRM platform, and it plays a crucial role in helping organizations handle their customer data. However, with the amount of data stored in Salesforce, it’s essential to strike the right balance between keeping that data secure and ensuring it’s accessible to those who need it. This is where Salesforce Data Governance comes into play.

    What is Salesforce Data Governance?

Salesforce Data Governance is how you manage your Salesforce data – the rules, processes, and standards to enable better use of that data. It’s a lot like having your kitchen all organized things are in place and everyone else knows where to find what they need. Proper data governance ensures your information is correct, reliable, and secure from inappropriate use while allowing the access you want others to have at all times.

Governing is more than simply putting a stamp on a compliance requirement. It is protecting your data as it is, the key to unlocking the potential of your business.

Why is Data Governance Important in Salesforce?

Salesforce Data Governance is essential for the following few key reasons:

    • Data Quality: One of the benefits of good governance is that you will have data in Salesforce that can be considered accurate, consistent, and reliable. It is important when strategizing decision-making, and providing quality customer service.
    • Compliance: With regulations like GDPR, CCPA or specific regulations imposed on this industry space managed data governance delivers out-of-the-box legal obligations to avoid penalties and fines.
    • Security: As cyber threats change, strong data governance will safeguard sensitive information from being compromised or accessed by unauthorized personnel.
    • Efficiency: Data that is well governed can be easily found, used, and analyzed so your enterprise will work better.
    • Trust: The better the management of the customer’s understanding of their data, the higher the trust levels of customers and the better their relationship.

    Salesforce Data Governance Best Practices

To help you establish a solid data governance framework in Salesforce, here are some best practices to follow:

    • Data Ownership: Data should be attributed to people who can take care of different sets of data and meanwhile monitor the quality, security, etc.
    • Use Role-Based Access Control (RBAC): Secure data by employing Salesforce’s security model to develop more detailed security restrictions. Allow user to access only the specific required data for their work.
    • Create Data Quality Standards: Specify and implement data quality rules like mandatory fields, validations, or standard structure data. These steps allow for scalability and maintainability of your Salesforce org.
    • Routine Data Audits: Evaluate your data regularly to discover errors and duplicates with the potential for inaccurate outdated information.
    • Classify your data: Organize it in terms of how sensitive each piece of data is This will also aid in proper data security precautions and controls for various types of knowledge.
    • Training and Education: Keep your users up to date on best practices, and train them regularly about data governance policies and how valuable their education is. Ultimately it establishes a spectrum of data accountability across your organization.
    • Use Salesforce Shield: You can utilize the capabilities of Salesforce Shield for higher-level security functions such as Field Audit Trail, Platform Encryption, and Event Monitoring.
    • Create and Write Down Your Policies: A comprehensive and accessible location of your data governance policies, procedures, and standards. Distribute this widely amongst all Salesforce users in your organization.
    • Keep evolving: Keep an eye on your data governance as part of regular reviews and updates to adjust based on business changes, and new risks.

Balancing Security and Accessibility in Salesforce

    • Leverage Salesforce Sharing: Set up sharing rules for each record type using the powerful salesforce-sharing similar to how you set those OWDs above but with fewer restrictions on data access.
    • Deploy Single Sign-On (SSO): SSO increases the security and accessibility for users as they can use corporate credentials to access Salesforce, giving them a break in password fatigue while improving ease of use.
    • Field-Level Security: Control the sensitive information by providing field-level security and, for end users to get quick access to relevant data while managing personal details in an entirely different setting.
    • Adopt Dynamic Forms: Leverage Salesforce dynamic forms to display those fields, that are relevant for a specific user type/role or a record this streamlines the interface and inspires data security.
    • Leverage Salesforce Connect: For systems where data has to be retained outside of external reasons this should mean that real-time access is provided without compromising governance by using Salesforce Connect.

    Final Thoughts:

Data governance ensures both security and accessibility in Salesforce, It´s a continuous ongoing process. Stay ahead by regularly reviewing data and adapting your strategies to new Salesforce challenges and opportunities. Adapting best practices, adopting proper data governance, and dealing with common challenges will allow you to achieve a secure yet accessible environment within Salesforce.

The objective for you as a Salesforce data steward is that your users should have access to the perfect information at the moment when they require it while shielding this precious information from any harm.
